Separate the tool from the workflow

A CRM replacement will not fix an undefined process. First map how an inquiry becomes a record, which fields matter, who owns the next step, and what should happen when information is missing.

Automate the surrounding work

Many teams can improve consistency by connecting the systems around the CRM.

  • Create a lead record from structured intake
  • Map approved fields from calls or forms
  • Assign ownership using defined criteria
  • Create follow-up tasks from stages or dates
  • Notify a person when an exception needs review

Evaluate integration reality

The current CRM may support APIs, webhooks, exports, or native connections—or may impose limits. Discovery should confirm available access, data quality, permissions, and ownership before a recommendation is made.

Replace only with a clear reason

Replacement may be justified when the system cannot support required workflows, governance, usability, or reliable data access. That decision should follow a process map and requirements review, not precede them.
